# Create a PDF document template

Create a document template in PDF input format so that the recipient can fill in specific information.

{% embed url="<https://www.youtube.com/watch?v=MAPOoEZX7WI>" %}

Here are the **2 simple steps** to get there:

* Creating a fixed background
* Creating the form

{% hint style="info" %}
**Prerequisites**

* Have an Adobe Acrobat license
  {% endhint %}

## Create the fixed background of the form

Before creating the form with dynamic tags, create the "background" of the form, that is, its fixed base. Create the form background with the method of your choice (Canva, Google Docs, Word, Figma, or directly as a PDF).

* Create the visual design of the form background (logo, images, color blocks, paragraphs...)
* Add the key titles and instructions of the form
* Leave spaces dedicated to tags to hold information
* Convert the document to PDF format

{% hint style="warning" %}
**Tip**

You can also download pre-designed templates from a dedicated platform such as Canva, or use a Gonexa template from the library of pre-designed templates: [Pre-designed templates](https://www.gonexa.fr/ressources/templates)
{% endhint %}

## Create the form in Adobe Acrobat

Open your PDF template (fixed background) in **Adobe Acrobat** to add tags. Access the available tools from the toolbar, select "Prepare a form" and click "Start".

### Prepare a form

* From the toolbar, access all the tools available in Adobe Acrobat
* Click "Prepare a form" and then "Create form" to start creating the form.

* You will find some content already added. Create new content manually by deleting the components that were added automatically, or edit the existing ones.

### Add a text box (Text field)

* From the Adobe navigation bar, select the "Add form fields" option on the document, where you want it, and select the desired type: "Text field" in our case
* Drag and drop the component where you want it if it is a new one, then take your cursor back and double-click the element to configure it.

* In the "Text Field Properties" pop-up, go to the first field, "Name", and enter the Gonexa tag with the Salesforce field to display. Copy and paste it from the assistant panel.

* Choose whether the element is mandatory by checking "Required", or read-only by checking the "Read Only" box
* Manage the formatting of your tags in the "Appearance" tab: size, border color, background color, font...

* Confirm by clicking Close

### Create an option list (Salesforce picklist)

* From the form components, select the "Dropdown" or "List box" option and click on the document where you want to place it
* Double-click the element to configure it.
* In the "Name" field of the General tab, enter the Gonexa tag with the Salesforce field to display. Copy and paste it from the assistant panel.
* In the Options tab, enter the values of the picklist. These must be the exact Salesforce picklist values. Add the items and order them. Select the default value and click Close.

{% hint style="danger" %}
**Warning**

If a Salesforce picklist value does not exist, that is, it is empty, you must enter `Null` as a value in your option list.
{% endhint %}

### Place a checkbox (Salesforce checkbox)

* From the Adobe navigation bar, select the "Check box" component and drop it on the page where you want it
* Double-click the element to configure it.
* In the "Name" field of the General tab, enter the Gonexa tag with the Salesforce checkbox field to display. Copy and paste it from the assistant panel.
* The box will be checked if it is checked in Salesforce, and it retrieves a true / false value.

* Click Close to confirm.

{% hint style="danger" %}
**Warning**

A checkbox tag can only be used once in the document.
{% endhint %}

### Create radio buttons (single-selection list)

* From the Adobe navigation bar, select the "Radio button" component and click on the document where you want to place it
* Name them with the Gonexa tag created from the assistant.
* From the panel, change the values (choice 1, choice 2, choice 3...) to the names of the Salesforce picklist values.

### Preview and upload the PDF template

Once your form components have been added, test them by clicking "Preview" in Adobe Acrobat, then upload your template to Salesforce

* From your Salesforce document template, upload the new version with the PDF created in Adobe Acrobat
* Test your template as usual

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://university.gonexa.fr/doc/en/advanced-features/pdf-excel-powerpoint-templates/create-pdf-template.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
